Using price components in item lists
Foreword to the "price components" function
Price components are part of the existing GAEB functionalities and are therefore taken into account in the GAEB file exchange. GAEB supports up to 6 price components.
With the help of price components, the unit price of a service item can be divided according to cost types. Usually requested price components for unit prices are usually wages and materials. In the tendering process for construction services, it is common to request price components at the unit price. When submitting a quotation, the supplier shall indicate the calculated unit price broken down according to the price components.
Example:
Material €76.00 + wages €52.00 + price component XY €120 = unit price (EP) €248
This article describes how you can create text blocks for price components in FUTURA Engineering so that you can use them later in your items list. You can find out how to create price component modules in the following article: Managing price components
Manually setting price components in the item list
Price components can be used in Requisitions, Requests, and Purchase Orders transactions.
Note:
In order transactions, supplementary service items will be configured with the settings of the main item list. Price components are displayed to the supplier in the details of the item and are always taken into account in the GAEB or Excel export. However, the quantities for the ordered service items cannot be entered separately in the service entries. The total quantity ordered is always recorded in relation to the total price.
Example calculation with 6 possible price components:
{Ordered quantity x [Total price = (Unit price = material+wage+PC3+PC4+PC5+PC6)]}
Open the desired process and switch to the "Specifications" tab. Click on the "price components" button in the button bar above the item list.

price component Allocation Selection Window
The selection window for maintaining price components opens. Activate the function "Use price components" with the checkbox.
According to GAEB regulations, up to 6 price components are possible for a list of services. This means that 6 fields for maintaining price components are displayed in the window.
Use the drop-down boxes to select the available price components. Only price components that were previously defined in Administration → price components for your organizational unit are available. Manual maintenance of price components is not possible at this point.

Selection of price components
By determining the price components 1 to 6, you determine the order of the price components. In this order, the price components are transferred according to GAEB and Excel.
Note:
If your required price components are not available to obtain the price information, please refer to the following page to learn how to create building blocks for price components. Creating price components is associated with permissions. If you do not have this authorization, please contact your administrator for FUTURA Engineering.
Manage price components
With the activation of the function and selection of the building blocks for the price components, the fields are displayed in each detail window of a service line of the LV. The setting therefore affects the entire bill of quantities and is thus adopted for all other order items (lots).
If you have the goal of tendering the LV via an inquiry and you would like to include calculation prices in the LV, you can use the fields for price components for this purpose. Costing prices are not displayed to suppliers unless you use the "Target prices" option in your request. If you use the latter combination, the prices will be displayed when you create the offer.
If you do not have any calculation prices and you want this information to be filled in solely and freely by the suppliers, leave the fields for the price components empty.

Import of service specifications with price components via GAEB and Excel
FUTURA Engineering also supports the maintenance of price components by means of a GAEB or Excel import.
Example of an import via Excel or GAEB:

Import of Excel LVs with price components
If the course is available in Excel, you can also import it into FUTURA Engineering. You can also maintain price components in Excel. For the import to be successful, the structure must follow a defined scheme. Please refer to the table below for more detailed explanations, as well as further information from the import template.

Structure of a course in Excel
Below and in FUTURA Engineering under "Downloads" you will find the import template:
Vorlage_Excel_LV-Import_deutsch.xlsx
On the following page, you can read how to import GAEB LVs:
Import an Excel file
The following columns must be present in the Excel file or will be taken into account during the import:
Split | Elucidations |
OZ | The ordinal number (OZ) is not taken into account during import. Automatic numbering takes place in FUTURA Engineering. The course structure is determined from the imported template and stored in the "Course Structure" window. |
Titles 1- 4 | Maximum 80 characters. According to SAP, however, only the first 40 characters of the short text are transmitted. |
Performance no. | Service numbers can be added to service lines. They are imported into FUTURA Engineering with the function "Consider service numbers during import. |
Ext. Performance No. | External service numbers can be added to service lines. They will be taken into account when importing into FUTURA Engineering, if there are entries. A maximum of 18 positions are possible. From the 18th character onwards, the entry is truncated. |
Line Type | The following row types are supported: |
Short | GAEB supports a maximum of 80 characters |
Long | Max. 32,000 characters |
Quantity | Max. with 3 decimal points |
Unit | The selected unit of measure should be stored in the master data in FUTURA Engineering. If an unknown unit is imported, the system will request a unit replacement. |
PA (price components) |
|
EP | Unit price of the service line with a maximum of 2 decimal points. |
Import of GAEB files with price components:
The import of price components from GAEB files in XML format is also supported. In this case, price components are built into the GAEB file as a function and texts. After importing, you will see the imported price components in the window of the same name.
On the following page, you can read how to import GAEB LVs:
Import of GAEB files in XML format
View for suppliers in the offer via an inquiry (tender)
After you have successfully created a bill of quantities with price components manually or via GAEB or Excel import in FUTURA Engineering and have published an inquiry to your selected suppliers, the specifications with the price components are displayed to the suppliers when they create the offer. The division of the unit price can then be entered for the invested price components. The sum of these is shown in the EP column.

View and enter for the supplier in the quotation
The specifications can be exported to Excel and edited, including the price components, and then imported back into FUTURA Engineering for quotation.
